Managing user access
Access to Exopen AI is controlled by permissions on roles in the Exopen Portal. Users are assigned one or more roles, and each role has a set of permissions enabled. For a user to see and use Exopen AI they need to either:
- be a company-domain admin, or
- have a role with the Exopen AI permission enabled.
Enable the Exopen AI permission on a role
As an admin, go to role management in the Exopen Portal, pick the role you want to grant access, and turn on the Exopen AI permission. Every user with that role gets access the next time they reload the Exopen Portal.
On their first open, they go through the three-step onboarding.
Assign a role to a user
To grant a specific user access you can either:
- enable Exopen AI on a role the user already has, or
- assign the user a role that has the permission enabled.
Revoke access
Turn off the Exopen AI permission on the role, or remove the role from the user. The user no longer sees Exopen AI in the menu — but their existing conversations are not deleted automatically.
What the permission grants access to
- All chat functionality in Exopen AI
- The user's own conversations, memory, and settings
- File attachments and CSV export
What the permission does not grant
- Visibility into other users' conversations
- Management of company-wide settings (see Managing company-wide settings)
